How to Export Your Quandoo Guest Data: A Guide for Restaurants Before the Shutdown

Quandoo is shutting down. On 24 March 2026 the Berlin-based reservation platform announced its closure, and Quandoo GmbH is now in liquidation. The wind-down follows a fixed schedule: the platform keeps running normally until 30 September 2026, after which no new reservations can be made. By 31 December 2026 at the latest, the website, the app and the entire infrastructure are switched off permanently. For any restaurant that relies on Quandoo, that means one thing: if you do not export your guest data in time, it is gone — years of contacts, visit histories and notes on your regulars.
One detail is easy to miss: parts of the trade press cite 31 December as the export deadline. Quandoo's own partner FAQ says otherwise — reservation history and the guest list can only be exported "up to and including 30 November 2026". So do not count on the later date. Our recommendation goes further still: complete the export before 30 September if you can, while the platform is fully staffed and operational. From 1 October, support narrows its focus to export enquiries only — and the closer the deadline gets, the longer response times may become.
The key dates at a glance
- 30 September 2026: Last day for new reservations; your contract ends automatically. Remove all Quandoo widgets and booking links from your website, Google Business Profile and social media by this date — the widget stops working afterwards.
- 1 October 2026: All guest-facing services are discontinued. Data exports remain available, and support focuses exclusively on export enquiries.
- 30 November 2026: Last day to export your reservation history and guest list — the officially confirmed deadline from the partner FAQ.
- 31 December 2026: Website, app and all remaining infrastructure are permanently taken offline. After the shutdown, Quandoo retains data only as long as legally required, then securely deletes or anonymises it.
Which data to back up now
Secure everything that makes up your guest book: guest contacts (first and last name, email address, phone number), the complete reservation history including visit records, and notes and special requests — allergies, favourite tables, VIP flags. And most important of all: the list of every future reservation. Bookings dated after 30 September remain valid, but the platform you manage them in disappears. Without that list, a party of ten turns up at the door in October and nobody on the team knows anything about it. Quandoo itself explicitly recommends exporting upcoming reservations so you can manage them independently of the platform.
One honest caveat up front: you cannot take your reviews with you. Quandoo has officially confirmed that reviews collected through the platform cannot be transferred to other platforms, citing contractual and data-protection reasons. At the very least, save screenshots of your average rating for your records — and plan to rebuild reviews from scratch going forward, for instance on Google.
Step by step: how to export your Quandoo data
Start by logging in to your partner account — the Business Center at admin.quandoo.com, or "Quandoo for Restaurants: Pro" or the Business App, depending on what you use. If your login credentials have gone missing, reset the password now, not in November. Once logged in, you will find Quandoo's official step-by-step instructions for exporting the reservation history and guest list in the Help Centre. At this point we have to be honest: those instructions are only visible to logged-in partners. There is no public documentation of the exact click path, and the export file format is not officially described anywhere either — if anything is unclear, ask Quandoo support directly rather than relying on guesswork.
The most reliable route therefore runs through support: request a complete export via the live chat in your account, or by email at support.de@quandoo.com for partners in Germany and Austria — in other markets, use the live chat or the contact listed on Quandoo's shutdown page. List explicitly what you need: guest list, full reservation history, guest notes and special requests, and all future reservations. Quandoo has committed to assisting partners with data exports throughout the entire wind-down. Then check the export you receive item by item for completeness before ticking the task off.
The GDPR lever: the data belongs to your restaurant
If the export stays incomplete or support goes quiet, you hold a strong legal tool. Quandoo's own data processing agreement makes it clear: for your restaurant's guest data, you are the controller within the meaning of the GDPR, and Quandoo is merely a processor. Under Art. 28(3)(g) GDPR — mirrored in the UK GDPR — the processor must, at the controller's choice, return all personal data once the service ends. You can therefore formally demand the release of your guest data: in writing, with a deadline, to support.de@quandoo.com and in copy to dataprotection@quandoo.com.
You can copy this sentence straight into your email: "As the data controller, we hereby request, pursuant to Art. 28(3)(g) GDPR and our data processing agreement, that you provide us by [date] with a complete copy of all personal data processed for our restaurant — including the guest list, reservation history, guest notes and all future reservations." Mind the limits of this claim: it covers only the data processed on your behalf. For reviews and guest accounts on the Quandoo marketplace, Quandoo itself is the controller — which is why its refusal to export reviews is legally sound.
After the export: choose your new system first, then import
Decide on your new reservation system before you import — and well before 30 September, because the Quandoo booking link on your website needs a replacement by then. From a data-protection standpoint the move is straightforward: you remain the controller, the purpose — maintaining your guest relationships — does not change, so no new consent from your guests is required for the guest book. Do sign a data processing agreement with your new provider, though, and remember that the usual rules still apply to marketing emails. Also keep a dated copy of the raw export as evidence of an orderly data handover.
